Building a central legal compliance register for the whole organisation

AmbaFlex consolidated legal obligations and internal policies into one digital compliance register. The result is a practical internal resource with checklists, templates and a clear handover for ongoing use.

Register and templates

AmbaFlex operates across multiple markets and deals with a wide range of legal and compliance requirements, from HR and privacy to machinery, health and safety and environmental regulations. While the knowledge existed inside the organisation, it was spread across documents and people rather than stored in one accessible place.

That made everyday use difficult. Employees who needed to answer customer questions or check internal responsibilities often depended on a single colleague or had to search through fragmented files. For a growing organisation, that created both risk and inefficiency.

The challenge
AmbaFlex needed one clear and usable place where compliance information could be accessed by different departments, without making employees dependent on a single internal expert. The solution had to be practical, understandable and easy to maintain.

Blackbear's role
Blackbear helped define the scope upfront. The register was intended to support knowledge transfer and day to day access to compliance information, not to replace legal judgement by internal experts or department leads. Within that frame, the work focused on building a clear overview, structuring the content and preparing it for internal use and handover.

Result
AmbaFlex now has a central digital compliance register covering five key domains, with supporting checklists and templates per topic. Employees can work more independently, customer questions can be answered more easily and the risk of knowledge loss has been reduced significantly. The internal team also received a working method to keep the register up to date.
