Setting up Asana as a central project tool for client-facing projects

Industry International runs technical client projects across engineering, procurement and logistics. In that context, document flows such as transmittals, RFQs, bank guarantees and progress reports are essential, yet they were spread across multiple systems and often dependent on individual employees.
That made project handovers vulnerable. Tasks, ownership and documentation were not brought together in one place, especially where engineering, procurement and operations met. As a result, information gaps and avoidable errors started to appear.
The challenge
The organisation needed Asana to become a working project environment for external client projects, not just a blank tool. That meant usable workflows, embedded templates and practical links to systems already in use, while keeping the setup accessible for different types of users.
Blackbear's role
Blackbear first helped keep the scope sharp. This phase focused on external client projects only, while broader ERP synchronisation, internal project control and a new document management setup stayed outside the assignment. From there, the work was structured around process analysis, configuration, testing and training, using active projects as the basis for a practical setup.
Result
Asana is now in place as the central environment for Industry International’s client projects. Reusable workflows and templates support daily execution, relevant integrations have been prepared or partly implemented, and employees have been trained to work with the setup. The structure was built modularly, so future expansion can follow without starting over.
