Communication management for a year of sustainability in Zeist

An external communications specialist supports campaigns, website updates and event communications for Samen Duurzaam Zeist across a full year. Two major public moments are included, with the final handover phase still in progress.

Samen Duurzaam Zeist is a community initiative that brings together residents, local organisations and the municipality around sustainable living and behaviour change. The initiative relies largely on volunteers and a small core team, while its communication needs run throughout the year.

That creates a practical gap. Around the two annual flagship moments, communication intensity rises sharply, while in between the website and channels still need regular attention. This is more than the volunteer structure can absorb on its own.


The challenge
The municipality of Zeist needed an experienced hands on communications specialist who could carry the communication structure for a full year, coordinate independently with local partners and keep momentum across both campaigns and ongoing channel management.


Blackbear's role
Blackbear helped define the scope clearly in advance. The assignment focused on digital communications, campaign delivery and event coordination, while technical website management, brand development and print production were kept outside scope. In this case, the emphasis was not on sourcing the professional, but on sharply framing the assignment and structuring it in clear phases with review moments and concrete deliverables.


Result
Six of the seven phases have been approved and completed. Communications for the Samen Duurzaam Doen Week in October 2025 were delivered and evaluated, and preparations for the Doe Dag in May 2026 have also been completed. The final phase is currently ongoing and is focused on reporting and handover, so the core team can continue independently afterwards.
