A Single Dashboard for Visibility into Maintenance and System Incidents

Power BI dashboard developed and implemented for Van Dorp and TU Delft. It replaced an unmanageable spreadsheet with a role-based reporting platform that refreshes automatically.

Van Dorp is a technical services provider specialising in facility management and installation technology for a broad range of clients, including higher education institutions. In collaboration with TU Delft, Van Dorp manages a large number of technical systems and processes daily reports on incidents, maintenance requests and complaints.

All of that data was tracked in a spreadsheet that had grown unwieldy over time. Reporting was time consuming, visibility was limited, and the file no longer matched the information needs of the various stakeholders involved.


The challenge
Van Dorp needed a structured, visual way to make operational data accessible to multiple roles across both its own organisation and that of TU Delft. The existing spreadsheet offered insufficient clarity and was not a scalable reporting solution.


Blackbear's role
The assignment was defined as a fixed price engagement with clearly scoped deliverables and a firm deadline, giving the specialist an unambiguous brief from the outset. Blackbear identified and selected an external professional with a demonstrable background in data visualisation and stakeholder management within complex organisational settings. Throughout the project, structured coordination ensured that feedback was incorporated promptly and that delivery remained on track.


Result
A fully functional Power BI dashboard was delivered, with automatic data refresh and role-based views tailored to stakeholders at both Van Dorp and TU Delft. The dashboard follows TU Delft's official visual identity, is straightforward to edit and extend without external support, and was accompanied by a digital presentation and complete documentation. All stakeholders approved the final delivery.
