Kennemerhart organises a wide range of learning activities each year across multiple locations, from onboarding new employees to targeted training sessions and workshops. Until now, those activities were spread across separate overviews, without one integrated planning structure that also covered room usage.
Preparing for 2026 required more than updating an existing list. The organisation needed a practical system that combined the learning calendar with the facilities side, so planning and space needs could be managed together.
The challenge
Kennemerhart already had an onboarding schedule, but lacked a full overview of all learning activities and their room requirements by moment and location. Without that view, reliable forecasting and timely alignment with facilities management were difficult.
Blackbear's role
Blackbear helped define the scope clearly before the work started. The assignment focused on structuring the planning and capturing room requirements, while redesigning the learning offer itself and making actual room bookings stayed outside scope. From there, the work was organised around inventory, setup and handover, so the final output would remain practical and reusable in future years.
Result
Kennemerhart now has a central planning system covering all 2026 learning activities and linking them directly to the rooms required. With forecasting built in, the organisation can see occupancy pressure more clearly and coordinate more effectively with facilities management. The handover guide also means the system can be maintained internally without external dependency.
